Your privacy matters. This policy explains how NCCAP 2026 collects, uses and protects your personal information.
The National Institute of Speech and Hearing (“NISH”, “we”, “our”) operates the NCCAP 2026 conference website and associated services. By using this site, registering for the conference or submitting research, you consent to the practices described below.
1 Data We Collect
We collect personal information you knowingly provide and certain technical data automatically:
- Registration data: name, email, phone, institution, designation, dietary preferences, accessibility requirements.
- Submission data: manuscript content, author affiliations, ORCID, conflict-of-interest declarations.
- Payment data: processed by our payment gateway (Razorpay / PayU). We do not store full card numbers on our servers.
- Technical data: IP address, browser type, device identifiers, pages visited, referral source.
2 Cookies & Similar Technologies
We use a minimal set of cookies to keep you signed in to the submission portal, remember your preferences, and measure aggregate traffic via privacy-respecting analytics. You can disable non-essential cookies via your browser settings without losing core functionality.
3 How We Use Your Information
- To process registrations, paper submissions and payments.
- To send conference-related communications (programme updates, logistics, certificates).
- To verify author identity, perform peer review and prevent academic misconduct.
- To provide accessibility accommodations as requested.
- To improve our website and overall conference experience.
4 Registration & Submission Privacy
Submitted abstracts and manuscripts are shared only with assigned peer reviewers under a double-blind process. Author identities are not disclosed to reviewers, and reviewer identities are not disclosed to authors. Editorial decisions are logged and stored for three years post-conference.
5 Payment Security
Online payments are processed by PCI-DSS compliant payment gateways. We do not store CVV codes or full card details. Refunds are processed to the original payment method within 7–10 working days when applicable per our refund policy.
6 Third-Party Services
We use the following third parties under strict data-processing agreements:
- Razorpay / PayU for payments.
- Microsoft Outlook / Mailchimp for transactional and newsletter emails.
- Privacy-respecting analytics for aggregate traffic measurement (no personal identifiers).
- Cloud storage for manuscript files (encrypted at rest).
7 Data Retention
Registration and payment records are retained for seven years as required by Indian financial regulations. Submitted papers and reviewer comments are retained for three years post-conference. Marketing email lists allow opt-out at any time via the unsubscribe link.
8 Your Rights
You have the right to access, correct, delete or port your personal information. To exercise these rights, contact our data officer at privacy.nccap@nish.ac.in. We respond to verified requests within 30 days.
9 Children
The conference is intended for participants aged 18 and above. We do not knowingly collect data from minors. If you believe a minor has submitted information, please contact us so we can promptly remove it.
10 Changes to This Policy
We may update this policy occasionally. The “Last updated” date at the top reflects the most recent revision. Significant changes will be communicated by email to registered delegates.
